Product documents: certificates and declarations

What it is

The agent checks a Russian certificate or declaration of conformity by the number from a contract, shows which documents a company has by its ИНН, and searches for documents for the product itself: by name, TN VED code or barcode. The data comes from a copy of the state registers of Rosaccreditation. It works in the Chats section and in the Agent panel inside a spreadsheet.

How to use it

1. Open New chat or the Agent panel and send the number exactly as it is written in the contract, for example: “check EAEU RU С-RU.НВ65.В.02036/21”. Russian or Latin letters, case, spaces, dots and dashes do not matter.
2. Checking document … appears under Steps, followed by the result, for example Document …: Valid.
3. The answer shows: the kind of document; the status with an explanation; the dates of registration, expiry, suspension, termination and resumption; the product (name, designation, type, brand, model, article, group, codes, barcodes, origin, technical regulations); the applicant and the manufacturer with their ИНН; and the certification body.
4. If one number matches several documents (for example, a certificate and a declaration), the agent shows all of them. The difference between them matters.
5. “Which certificates does the company with ИНН … have?” gives up to 50 documents, newest first. Valid documents and invalid ones (suspended, archived) are shown separately.
6. “Find declarations for centrifugal pumps”, a TN VED code or a barcode gives up to 25 of the most recent matches. When searching by name, the agent also states the total number found.
7. Under the answer, Sources shows Unified registers of certificates and declarations — Rosaccreditation.

Limits

• Only documents from the Rosaccreditation registers are covered: Russian certificates and declarations of conformity.
• The copy of the registers covers a certain period. The agent states the dates on which the meaning depends: the document’s term, or the fact that a document was not found.
• Not found means “not in our copy”, not “forgery”. The agency’s data extracts come out once a month. A document may have appeared after the latest extract, and the number may have been retyped with a mistake.
• A search by name works on word stems: “pump for water” finds the entry “Насосы центробежные для воды”. A match by name is a candidate, not a confirmation. A person decides whether the document was issued for the contract item, by checking the name, the manufacturer and the specifications.
• If the term in the registry has already expired, but the status is still Valid, the agent warns that the document cannot be treated as valid.
• Document checks do not use up the plan limits.
