Import, export and print

Import turns an Excel or CSV file into a new spreadsheet or into the sheets of an open workbook. Export downloads the current sheet as Excel, CSV, TSV or a web page. Printing prepares A4 pages with a preview and hands them to the browser. From there you can print them or save them as a PDF.

Import to a new spreadsheet

  1. In the Spreadsheets section, click From file, or drag the file onto the page.
  2. In the Import from file window, drag the file into the frame or click Choose a file. The formats .xlsx, .xlsm, .xltx, .csv, .tsv and .txt are accepted.
  3. Reading the file… appears, then a preview: the first 50 rows and 30 columns, the sheet size, and the number of formulas. In an Excel workbook with several sheets, the sheets switch by tabs, and hidden ones are marked (hidden). For CSV, you can change the Separator, the Encoding (Automatic, UTF-8, Windows-1251 or GB18030 (Chinese)) and the checkbox First row contains headers.
  4. If there are N warnings, expand them. They show what could not be transferred as it is.
  5. Set the Spreadsheet name and click Import. The window closes by itself, and the new spreadsheet opens. It is separate: it does not appear in Chats.

Import into an open workbook

  1. Below the sheets, next to them: Spreadsheet menu → Import from file…. Choose the file.
  2. In Sheets in file, tick the sheets you need. In the column Where, choose New sheet or an existing sheet of the workbook. An existing sheet is replaced entirely, and its earlier state stays in the version history.
  3. Import → Imported N sheets: “Sheet1” to a new sheet… → Done.

Export

  1. On the right of the toolbar (on a phone, under More tools), click Download spreadsheet, and choose Microsoft Excel (.xlsx), CSV format (.csv), TSV format (.tsv) or Web page (.html). The file takes the name of the spreadsheet.
  2. The current sheet is downloaded over its filled area. Charts and photos from cells go into Excel as pictures. A photo stands in its cell at the height of a row (for a merged cell, at its full height), and several photos stand in a row. While the photos are being collected, the button shows Adding photos to the file… (on a phone, below the header).
  3. A separate chart can be downloaded with the Download PNG button of the selected chart.

Printing

  1. Download spreadsheet → Print and PDF, or Ctrl+P (⌘P) when the focus is in the spreadsheet rather than in an input field.
  2. On the left there are two groups: Page (the area, the portrait and landscape cards, the margins, Fit to width) and Content (Header rows, the grid, the row and column numbers, and the page numbers).
  3. On the right are centred A4 sheets. The preview zoom adjusts to the window; the paper size and the print layout do not change. On a phone, the settings and the pages scroll as one block, and the Print button stays at the bottom. After printing, focus returns to it.
  4. Click Print: the system window opens. For a PDF, choose Save as PDF. An error stays next to the action; fixing the parameters returns the preview.
  • Import is available to company members with write rights. Guests with a link cannot import.
  • A file can be up to 60 MB. Formula cells: up to 4 000 000. Filled cells: up to 4 000 000.
  • A sheet can have up to 99 999 rows and 999 columns. A CSV beyond that is not imported; from Excel, extra rows and columns are discarded with a warning. A workbook can have up to 50 sheets.
  • The plan limits the number of spreadsheets, the file uploads per month and the number of rows in one spreadsheet. An upload counts only if the import created a spreadsheet or changed the workbook. A refusal, a conflict or a file error does not use it up.
  • The reasons for refusal and the import warnings are shown in your interface language.
  • ZIP64 archives are not supported.
  • The Import from file and Print windows also close with a click on the dimming. On a phone they are bottom sheets: swipe the handle down; there is no × or Close button there. While printing is being prepared, the Print window does not close. While the file is going into the workbook (Importing…), the import window cannot be closed in any way: the dimming, the handle and Escape do not work, and Cancel and × are disabled. While the file is only being read, the window can be closed.
  • Export and print are hidden if the owner of the link has forbidden copying. A watermark may be on the print if the owner of the link has enabled it.
  • Photos from cells go into Excel and into print, but not into CSV, TSV or a web page. In Excel, photos total no more than 200 MB per file. Each one goes out as JPEG, or as PNG if it has a transparent background, and is no more than 2048 pixels on the long side. A photo in an empty cell beyond the edge of the data also goes into the file: the exported area reaches it.
  • CSV and TSV carry values in the cell’s format. Fractional numbers always use a dot. Month and weekday names, and ИСТИНА/ЛОЖЬ, are always in Russian, regardless of the interface language. Printing and chart pictures in Excel are in the interface language.
  • Print is A4 only, up to 100 000 cells and up to 200 pages at a time. The Header rows field takes values from 0 to 50.
